Start with the amount you are comfortable spending and the parts of the wedding that matter most to both of you. Then compare complete proposals. A low headline price is not useful if the final invoice excludes essential items.

Put every event in one budget

Include the ceremony, reception and any mehndi, sangeet, welcome meal or other gathering you choose to host. Traditions and family expectations differ, so list your actual plans rather than copying another couple’s schedule.

For each event, record the venue, food and drinks, clothes, flowers, entertainment, photography, transport and accommodation you will pay for. Keep the honeymoon separate so it does not disappear inside the wedding total.

The entries are a blank planning example, not supplier prices. Record taxes, service charges and currency alongside each quotation. Keep a reserve for agreed changes and avoid counting money that has not been committed.

Test the larger choices first

Ask how the quotation changes with a different date, guest count or event format. Check whether reducing guests actually reduces the bill when a minimum spend applies. Compare a venue’s existing furniture and lighting with the cost of bringing everything into a bare space.

A ceremony and reception in one location may simplify transport, but compare the complete cost before choosing. Review venue contract questions before paying.

Save on optional details

Favours, extra signs, outfit changes and elaborate installations are choices, not requirements. Keep the ones that matter to you. For a décor reduction, ask for two versions of the same design with the items removed clearly marked.

Bundled services can simplify coordination, but check the named team and deliverables. One person cannot cover two simultaneous roles without a plan.

Match food and drink to your guests

Compare menu formats, service hours, non-alcoholic drinks, dietary needs and any permitted alcohol separately. Do not assume every venue allows alcohol or outside catering. Ask for tasting arrangements and the deadline for approving the menu.

A smaller drinks list or shorter service period may be worth pricing, but ask what the saving actually is. Protect suitable food and enough service for the people attending.

Agree how changes get approved

Before adding something, ask: what does it cost, which budget line pays for it and who approves it? Keep written confirmations with the latest proposal so family members and suppliers do not work from different versions.
