To keep wedding décor within budget, choose the areas that matter most and price the full setup before ordering individual pieces. A rented item or DIY project is only a saving if transport, labour and removal still fit the plan.

Start with what the venue already provides

Ask what furniture, table linen, lighting and stage equipment are included. Photograph the empty room and mark the ceremony, dining tables, dance floor and service routes on a plan.

A bare space gives you choice but may need more spending on power, furniture, lighting and staffing. Compare the finished setup, not just the room-hire price.

Choose a few focal areas

You might prioritise the ceremony backdrop, guest tables and a welcoming entrance. Ask your decorator for an itemised version of the design with your priorities kept and optional extras removed.

For flowers, confirm stem types, approximate quantities, arrangement size and acceptable substitutions. “Seasonal” does not automatically mean lower cost for your Dubai order. Ask the florist to price suitable alternatives.

Make a small DIY idea practical

Mason jars or simple bud vases can hold table numbers, guest messages or small flower arrangements. Make one sample table before buying for the whole room. Check stability, guest sightlines and the space needed for plates and shared dishes.

For lights, consider battery-powered options and confirm venue approval. Do not assume a decorative jar is suitable for a flame, food service or hanging overhead. Leave suspended pieces and electrical installation to an appropriately qualified supplier.

Assign someone to pack, transport, place and collect the pieces. If family members would spend the reception clearing up, compare a supplier’s setup and removal fee instead.

Ask whether pieces can be reused

A ceremony arrangement might also work beside the cake or entrance, but someone must move it at the right time without disrupting guests. Confirm the labour and any change to the design. Not every structure can be moved once installed.

Compare quotations line by line

Ask each supplier to list:

• Quantities, dimensions, materials and whether pieces are hired or purchased.
• Flowers, substitutions and sample or mock-up arrangements.
• Lighting, power and installation requirements.
• Transport, setup, dismantling and collection times.
• Breakage deposits, applicable taxes and extra-hour charges.
• Who obtains venue approval and signs off the final design.
